Job Title: Health & Wellness Coordinator
Reports to: Human Resources Director, HR Department

Work Hours: Generally 8:00 am – 5:00 pm

Major Responsibilities:

Leadership- Demonstrates behavior consistent with the vision, mission and values of the City of Decatur, and provides excellent customer service; Engages in and supports the mission of the Administrative Services Department through strategic planning, creative problem solving, decision making, and responsible and ethical stewardship of City resources. Creates a safe environment for City staff to discuss benefits issues by demonstrating ability to maintain confidentiality and by acting with a sense of urgency to resolve problems in a timely manner; Contributes to continuous improvement of self, department and City through participation in training to develop leadership, management and technical skills in self and other employees; Being a wellness champion; keeping abreast with current national wellness and wellbeing initiatives and activities.

Effective Management

Manages monthly city retirement plan payments to retirees and new retiree payments. Demonstrates accountability for the delivery of quality services and work product as part of the overall departmental and City-wide strategic direction, goals and objectives. Takes initiative to accomplish tasks and identify opportunities for improvement; provides responsive and timely feedback on status and progress of work activities. Manages workers compensation city-wide.

Teamwork

Collaborates and coordinates with HR team members to orient new employees and ensure timely new hire entry into the ADP HRB/Payroll/ Enterprise E-time system; Coordinates the annual open enrollment; flu shots, and other projects as needed. Assists the audit team by providing complete employee benefit records and answers related issues in support of annual audit; Works with benefit vendors to ensure proper billing and accounting of employee and retiree benefits, and resolves issues as needed. Coordinates relevant training as requested by employees and supervisors, or as assigned.

Quality Service

Data entries new enrollment of employees and retirees into medical, dental and vision plans, supplemental policies, flex spending accounts, retirement, etc.; runs reports and conducts regular audits to ensure proper enrollment and deduction amounts; Works with Payroll Clerk to reconcile benefit invoices and submit to accounts payable for timely processing; advises employees and retirees on deductions; processes approved leave and short term disability requests. Maintains benefits records in accordance with state and federal regulations. Responds to questions from City employees regarding leave time, and benefit deductions, etc.; Responds to employee verification requests and coordinates recordkeeping with other HR team members. Follow up with employees to participate in the Healthy Breaks, healthy challenges. Partners with vendors to conduct wellness events within the City. Be on-site attending and facilitating workshops and attend wellness meetings (to include late nights/early morning meetings). Performs related duties as assigned.

Minimum Qualifications

Bachelors degree in a related field; minimum of two (2) years of work relevant experience ; ADP Enterprise E-time and ADP Workforce now experience is preferred; equivalent combination of education and experience will be considered.

Knowledge, Skills & Abilities:

  • Ability to operate a personal computer, printer, copier, fax machine and any other similar office equipment.
  • Strong verbal and written communication skills.
